How are they normally laid out? (b)   Do you find any differences between personal letter and business letter in format? 14 The schematic structure of an English letter There are variations in laying out a letter in English, the following are the three kinds of common used forms. It usually contains three lines. 1)      Your street address 2)      Your city, state, and ZIP code. 21   Inside Address The inside address is written in exactly the same way as the address on the envelop. recipient’s full address the title line name or the position of the recipient, the name of the business 22 Mr. John Smith (address) (2) The Personnel Manager (address) (3) Mr. John Smith The Personnel Manager (address) automatic sorting machine 23 l         Salutation Different salutations are used according to how well you know the recipient. Normal address forms for business letters are as follows: n     Dear + Mr. / Mrs. / Ms. / Miss + Surname When you are writing to a person whose name and sex you know, eg. Dear Mr. Smith, Dear Ms. White 24 If you do not know the name or sex of the recipient n         Dear Sir or Madam, or Dear Sir / Madam If you are writing to a man whose name you do not know. n         Dear Sir, If you are writing to an institution rather than an individual. n         Dear Sirs, n     The common address form for personal letters is Dear + Christian name as in “Dear John”, “Dear Mary”, etc. 25 Dear Mr. Smith Dear John Smith Do not: Dear Mr. John Smith Dear J. Smith 26 l         Body of the letter three purposes: ① making a start (opening) ② stating the main points (middle part) ③ concluding the letter 27 l         Complimentary closing Two common closings for business letters are: u    Yours faithfully, u    Yours sincerely, 28 1. Yours, With love, With best wishes, Yours affectionately, Yours sincerely 29 2. Yours sincerely, Cordially yours, Always truthfully yours, With best wishes, As ever yours, 30 3. Yours respectfully, Very respectfully yours, 31 4. Faithfully, yours, Yours truly, Faithfully, Very sincerely, yours 32 l         Signature For business letters, always print / type your name below your signature. Include your official title or courtesy title (Mr. / Mrs. / Miss / Ms.) if you like, so that the person who reads your letter is no doubt about who you are. For example: Yours faithfully, (Ms.) M. Brown The Sales Manager 33 l         Other signs or expressions     Encl(s) 34 Criteria of good correspondence The criteria of A, B, C have always remained the yardstick of good writing. A stands for Accuracy; B stands for Brevity; C stands for Clarity.
