The schematic structure of an English letter
There are variations in laying out a letter in English, the following are the three kinds of common used forms.

Mechanics of laying out a letter
Heading
The heading contains your address and the date. It usually contains three lines.

Your street address
2)
Your city, state, and ZIP code.

Inside Address
The inside address is written in exactly the same way as the address on the envelop. recipient’s full address

Salutation
Different salutations are used according to how well you know the recipient. Normal address forms for business letters are as follows:

Dear + Mr. / Mrs. / Ms. / Miss + Surname
When you are writing to a person whose name and sex you know,
eg. Dear Mr. Smith, Dear Ms. White

If you do not know the name or sex of the recipient

Dear Sir or Madam, or Dear Sir / Madam
If you are writing to a man whose name you do not know.

Dear Sir,
If you are writing to an institution rather than an individual.

Dear Sirs,

The common address form for personal letters is
Dear + Christian name
as in “Dear John”,
“Dear Mary”, etc.

For business letters, always print / type your name below your signature. Include your official title or courtesy title (Mr. / Mrs. / Miss / Ms.) if you like, so that the person who reads your letter is no doubt about who you are. For example:
